In his book The Art ofMANaging, bestmanagementleadershipauthor Michael Hyatt describes a concept he calls the “referent principle.” The referent principle describes how people and things that are similar in nature respond to one another.

Similar things tend to respond to one another without a second thought, which is why we use language to communicate with each other. For example, when referring to a person or an organization, we use specific words that refer to specific things.

We can understand what someone is saying by using concepts and ideas rather than clear and precise words. This is called interpreting before responding. When we interpret before responding, our communication problems can be huge!

This article will discuss some easy ways to listen more effectively and how doing so will help you improve your management skills and ability to manage people.

The three stages of listening

the biggest communication problem is we do not listen to understand, we listen to reply.

In terms of the different stages of listening, there are three main elements that comprise listening. These elements are: reply, re-reply, and re-re-reply.

We use each one in different ways, but all three can be applied to a listener or a message.

Our listening patterns are broken into two parts: reply, re-reply, and re-re- rematch. This is because we need to understand what someone is saying before we can agree or disagree with it.

When we first respond to a message or person, our mind is stuck in the following areas: identify characteristics (describe who they are, what they do), summarize (describe what they do), and synthesize (conclude that this is the best option for them).

This process can become very difficult and time consuming when there are multiple aspects to a message that need to be addressed. There will always be another piece of information or change in attitude that needs to be considered.

Develop your listening skills

Without the ability to listen with attention, your life will be filled with frustrating and unhelpful conversations.

There are many ways to learn how to listen. Some people use rigorous courses, where they listen to a lot of different people and messages to become more aware of how others are talking and what they are saying.

On a personal level, you can learn how to listen by practicing during quiet times. When you stand in front of a mirror and watch yourself silently observe your actions, that is a good way to start listening.

And you can do it more easily in the morning as you will be already awake and listening when you wake up.

You can also try listening through your phone or computer while walking or doing activities that require you being active. You can also try being present during conversations so they can actually see you and hear YOU.

Avoid interrupting people

the biggest communication problem is we do not listen to understand, we listen to reply.

When you’re communicating with someone, it’s important not to cross over their line of focus. When you do that, you can interrupt and change the subject without them knowing.

This can be difficult when people are talking a lot and you have to fill in the gap. They may or may not notice or care that you took a break and came back with something new.

If you need to take a break during a conversation, try taking a step back. You can do this by shifting your body position or by taking a different route to get there. If you need to end the conversation quickly, take a step away and leave if off screen.

When meeting people for the first time, it’s important to avoid saying hello twice. This is called auto-conversation and it becomes habit-forming.

Try to summarize what the other person is saying

the biggest communication problem is we do not listen to understand, we listen to reply.

While this may seem like a simple step to take before talking, it’s actually a very difficult one to do.

It requires us to listen carefully, and it requires us to reply quickly. We must be able to summarize what the other person is saying so that we can understand what they are trying to say, and how they are saying it.

When we try to summarize what the other person is saying but then don’t understand what they are really trying to say, we’re likely going to struggle with how to respond.

We may think that we’re answering our own question but in fact we’re only giving a partial answer. We have more questions waiting in the back of our minds. It’s important for conversation-makers to give themselves time and space to answer their questions.

Be calm and relaxed

the biggest communication problem is we do not listen to understand, we listen to reply.

When we are stressed, our bodies don’t hear or respond as effectively to something that makes us feel calm.

We tend to overreact to what we are feeling and act like we are under extreme stress. This only makes us feel more stressed and anger is a normal response to this.

When we listen with an emotional response, we understand what the other person is thinking and feeling. We can see emotions flowing through them and know they are not fully aware of what they are feeling.

When we feel angry,we try to understand why and if someone has done something to make us angry. We may also take steps to prevent future anger from happening. These steps may be saying or doing things that make us more relaxed or being with someone who is calm and relaxed.

Focus on the conversation

the biggest communication problem is we do not listen to understand, we listen to reply.

When you’re busy listening to other people’s messages, you’re not focusing on the conversation at hand. You’re replying to questions and comments from previous conversations.

This can be a problem when you need to listen more than reply, especially if someone is talking about something important.

When you reply to a message, make sure that you consider the following:

Your answer should be short and to the point. It takes more effort to continue reading with a long response than a short one.

your answer should be short and to the point. It takes more effort to continue reading with a long response than a short one. Your signature should be placed at the end of your message.

Don’t think about what you are going to say next

the biggest communication problem is we do not listen to understand, we listen to reply.

This is a common mistake that we make in our busy lives. We don’t listen to understand, we listen to reply.

We don’t listen to understand what someone is saying, we only listen to reply. This isn’t a good way to communicate.

When you are speaking, your mind has to process what you are saying and how you are saying it. When you only reply, your mind doesn’t have to process what you are saying and how you are saying it.

This can lead to missing out on points of interest, points of emphasis, and potential new ideas. It can also make people feel like they are talking through the phone instead of face-to-face.

Empathy is important in listening

the biggest communication problem is we do not listen to understand, we listen to reply.

When we don’t understand something, we often don’t want to listen to or understand it. This can be a problem when someone is struggling and we don’t feel understood.

It can be a difficult process to truly listen to someone else and take their point of view. This takes time and practice, but it is important.

When we do not understand something, when we reply to something quickly instead of listening, this can also affect our health in the long run. We do not spend the time to feel and respond to what somebody is saying, we respond to what they are saying in response to us.

This can cause us to overreact, which doesn’t help our communication any more than just listening would.
